HDIS is searching for a Non-Private Pay Documentation Supervisor to add to our award-winning team. They will work with the Director of Reimbursement and Reimbursement Manager in all aspects of managing the responsibilities for the department including associate hiring, motivation, coaching, development, discipline, customer satisfaction and achievement of key metrics.  The Documentation Representatives are responsible for all tasks related to verifying patient benefits, submitting and following up on documentation (RX, PA, LMN, etc.) requests, order management, audit requests and other supporting functions as applicable. Therefore specific requirements of the position include but are not limited to:

Summary of duties and responsibilities:

  • Supervise daily tasks of Documentation team

  • Review performance data for Documentation team and speak to issues/concerns

  • Monthly 1 on 1s with direct reports

  • Conduct monthly 1 on 1 meetings with employees

  • Review performance to metrics

  • Address areas for improvement

  • Annual Performance Reviews

  • Compile and compose review information for employees

  • Conduct employee face to face reviews with Manager

  • Complete HR/payroll for employees

  • Ensure employees meet targeted/expected overtime goals

  • Ensure employees complete make-up time as scheduled

  • Ensure attendance occurrences are handled correctly

  • Point of contact for employees to call regarding unscheduled absences

  • Enforce HR policies (attendance, dress code, cell phone, etc.)

  • Employee Conversations

  • Accurately document employee conversations in a timely manner

  • Consult with Managers/HR as applicable regarding nature of conversations

  • Motivate Team

  • Create and implement activities to motivate team to meet/exceed metrics

  • New Employee Set-up

  • Work with HR/IT to on-board new employees

  • Work station set-up (computer, phone, supplies, etc.)

  • Audit Employee Performance

  • Manager on Duty

  • Work designated Saturdays once a month as Manager/Supervisor on duty

  • Able to perform all duties of team within the supervisory scope

  • Consistently display initiative in all aspects of the position, including attendance, service delivery, and volunteering for special projects or assignments

  • Must be able to work overtime with or without advance notice as the demands of the department warrant

  • Successfully juggle the known needs of the position with extra responsibilities as assigned

  • Keep HR and management informed of area activities and significant problems

  • Maintain a high degree of confidentiality pertaining to team member and customer situations.

  • Assist Director of Reimbursement and Reimbursement Manager with projects as needed

  • Take escalated customer calls and ensure situations are resolved in a ‘Win-Win’ manner

  • Work cooperatively with staff from their own department and other departments to identify customer service problems, make recommendations, and plan and coordinate program and communication changes

     

    Non-Private Pay Documentation Supervisor serves as an example for other department members to strive towards and will uphold the culture of HDIS including relationship building with customers as well as general behavior on HDIS premises or at other HDIS sponsored events. 

     

    Education, prior experience, specialized skills and knowledge:

  • Demonstrated experience in a supervisory capacity

  • Demonstrated experience with Medicare, Medicaid and Insurance a plus but not required

  • Ability to motivate employees to accomplish department and company goals

  • Able to remain calm during stressful situations, including interpersonal conflicts between team members

  • Extensive problem solving capabilities

  • Strong written and verbal communication skills

  • Able to work independently and within a team with little supervision

  • Attention to details and accuracy along with strong organization skills

  • Cooperative and willing to assist others

  • Able to use computer applications, adding machine, telephone, PC, copier, fax machine and other basic business machines

  • Able to apply common sense understanding to carry out detailed but uninvolved instructions and to deal with problems involving a few variables
